Privacy Policy

Vision Company BVBA attaches great importance to your privacy. For this reason, implementing a sound and effective privacy policy is one of our most important priorities. We will make every effort to keep you fully informed about the information we hold with regard to your person and what we do with that information. Similarly, we also attach great importance to the protection of your details in our databanks.

1.       The responsibility for the processing of data in accordance with EU-GDPR

Vision Company BVBA (hereafter: 'Vision Company'), Jules Destréelaan 62, B-9050 Gentbrugge is the entity responsible for the control and processing of the personal data of its customers and/or visitors to the website www.vision-company.be (hereafter: the 'user'). Vision Company alone determines the nature of the personal data relating to the user that will be collected, and likewise determines the means by which and the purposes for which the processing of that data takes place.

We always process the personal data of the user in accordance with the provisions of the Regulation of 27 April 2016 relating to the protection of natural persons with regard to the processing of personal data and the free movement of such data (the GDPR).

2.       Which personal data do we process:

The following categories of personal data may be processed by Vision Company:

  • Optical matters: company name, owner, address, telephone number, fax number, e-mail address, website, VAT number, customer numbers and passwords, order information, visit information contracts, discounts, IP addresses.
  • End-users: e-mail address, IP address, order details if your optician orders your lenses from us.

 These personal data are collected and processed if or when you become a customer of ours. Other personal data may be collected at other moments. The amount of personal data we collect about you will depend on how frequently you use our services.

If you use the contact form on the website, we will collect data relating to your name, e-mail address and message, so that we can provide the best possible answer to your question and/or request. In addition, we also use cookies. You can find more information on this matter in article 12.

3.       For what purpose and on which legal basis is the data processed:
3.1   Optical matters/suppliers

  • The processing and correct invoicing of your orders (as supplier).
  • The processing of your orders (as agent).
  • The consulting of previous orders.
  • Gaining insights into which products are most suitable for you.
  • Keeping the shop-finder on the website accurately up to date.
  • Customer management and customer relations.
  • Producing a maximum of one monthly newsletter (direct marketing).
  • Product and service development.
  • Visiting new prospects.

 These activities are based on the following legal grounds:

  • The implementation of a contract (collaboration between customer and supplier).
  • The existence of a justified interest on the part of Vision Company, including the making of first contact with prospects
  • Your explicit permission following a first contact for direct marketing purposes.
  • Proper compliance with legal and regulatory provisions relating to the management of contractual relationships and, in particular, invoicing.

3.2   End-user

  • Providing a maximum of one monthly newsletter.
  • The efficient offering of our services.

These activities are based on the following legal grounds:

  • Your explicit permission when you register for the newsletter, following which you must also send a confirmatory e-mail (double opt-in).
  • The existence of a justified interest: details of your order are stored with us so that they can easily be re-consulted in future, where necessary, for subsequent reorders or adjustments.

4.       The exchange of personal data

Without your explicit permission, Vision Company will never sell, exchange or make known your personal data to any third party. The only possible exceptions to this are when the passing on of personal data is necessary for the implementation of an agreement or is otherwise legally obliged. For example, data can be exchanged within the EU with Germany, Denmark and Italy, depending on the contractual position. Imagine that you become a new customer of Monoqool as a result of a visit by our representative. We then have no option but to forward your details to Monoqool Denmark to ensure the efficient completion of all necessary administrative arrangements.

Vision Company is free to make use of 'processers' to process your data. These are natural persons or legal entities who process personal data at the request of or on behalf of the responsible controlling entity, i.e. Vision Company. The processers are obliged to work in conformity with the instructions issued by Vision Company and must also respect the GDPR. Use can be made of the following categories of processers:

  • Companies that we have engaged for ICT technical support and hosting purposes;
  • Companies that we have engaged for administrative purposes;
  • Companies that we have engaged for logistical purposes (delivery of product)
  • Companies that we have engaged for marketing purposes;
  • Companies that we have engaged for communication purposes via de website.

Agreements have been made with these processers to ensure that they apply the same standards as those maintained by Vision Company.

 5.       Length of time for which the data is held
5.1   Optical matters

Your personal data will be retained for as long as is necessary to complete the purposes listed in article 3. Your data will be deleted from our databanks as soon as it is no longer necessary for the realization of these purposes or whenever the user correctly exercises a legal right to have the data removed.

5.2   End-user

Your personal data will be retained for as long as you do not cancel your subscription to the newsletter. As soon as you cancel your subscription, your data will be deleted. The data that we hold in relation to your prescription will be held for as long as your optician continues to carry out his/her professional activity.

6.       The rights of the user

As an interested party, you have a number of privacy rights, as foreseen in the GDPR.

6.1. Right of access. 

If you wish to know which data Vision Company holds and processes in respect of your person, you should write to the company requesting access.

6.2. Right of amendment.
If it transpires that the data held by Vision Company are incorrect, incomplete or irrelevant, you can submit a further written request to the company to have the data corrected or supplemented.

6.3. Right to be forgotten.
In certain instances, you have the right to ask us to delete your personal data in our records.

6.4. Right of transfer.
If you have given us permission to process your personal data, you have an additional right of transfer. This means that you have the right to receive that processed data from the company in a structured, commonly used and machine readable form. You also have the right to transfer this data to another service provider.

6.5. Right to limit the processing.
You have the right to ask Vision Company to limit the processing of your personal data.

6.6. Right to object.
At all times, you have the right to object to the processing of your personal data for direct marketing or for other purposes resulting from the justified interests of Vision Company.

6.7. Right to withdraw your permission.
At all times, you have the right to withdraw your previously given permission; for example, when you originally gave permission for processing for direct marketing purposes.

7.       Exercising your rights

If you wish to exercise your rights, you must send a written, dated and signed request with proof of your identity to Vision Company BVBA,  Jules Destréelaan 62, B-9050 Gentbrugge or to info@vision-company.be.  We will answer your request as quickly as possible and no later than once month following its receipt in our offices.

8.       Links

The website www.vision-company.be and our marketing e-mail messages sometimes contain links to other websites that are not initiatives of Vision Company. Our privacy policy is only applicable to the processing of data obtained via our own website and service provision and is not applicable to the processing of data collected by other websites. As soon as you have left our website or closed our marketing messages, Vision Company can no longer be held liable. You are recommended to exercise care and to examine the privacy policies that are applicable to such third party websites.

9.       Reporting of a breach of security to Vision Company

The security of your personal data is very important to us. In order to prevent unauthorized access or publication of this data, it is stored on a secure server and appropriate security measures have been taken to prevent amendment, loss or misuse of the data under our control.  If you suspect, at any time, that there has been a breach of security in respect of your personal data (for example, if you have received a suspicious communication from someone who is clearly not an employee of Vision Company or from a  fake website that claims in some way to be connected to Vision Company), you should report this by e-mail to info@vision-company.be or in writing to Vision Company BVBA, Jules Destréelaan 62, B-9050 Gentbrugge.

10.   The possibility to submit a complaint to the data protection authorities

If, as a user, you are not in agreement with the way your data is processed by Vision Company, you have the right to submit a complaint to the competent supervising authority. In Belgium, this is the Data Protection Authority (www.gegevensbeschermingsautoriteit.be).

11.   Privacy on the internet and cookies

Vision Company is entitled to collect anonymous and aggregated data of a non-personal nature, such as browser type or IP address, the operating programme that you use, or the domain name of the website that led you to the vision-company.be website or the website by which you leave it. This data makes it possible for us to continually update and optimize the vision-company.be website for users.
